Privacy Policy

Madcow Venture Company LLC (“MVC,” “we,” “us,” or “our”) operates the OpifexBrief platform (“Service”). This Privacy Policy explains how we collect, use, disclose, and protect information in connection with the Service.
This policy covers two categories of users: Subscribers (field service companies that subscribe to OpifexBrief) and End Users (customers of Subscribers who submit service requests through the OpifexBrief intake form).
Information We Collect
From Subscribers
When you create a Subscriber account, we collect your business name, address, and contact information; account holder name, email, and phone number; payment information (processed and stored by our third-party payment processor — we do not store full credit card numbers); logo, brand colors, and customization materials you provide; and login credentials (passwords are stored in hashed form only). Through your use of the Service, we also collect dashboard activity and usage patterns, support correspondence, and feature preferences.
From End Users
When an End User submits a service request, we collect contact information (name, address, phone number, email); responses to the diagnostic questionnaire (system type, symptoms, filter status, system age); media (audio recordings up to 15 seconds and photographs of equipment); whether anyone in the home is at heightened risk in extreme temperatures; property access details (gate codes, pet warnings, equipment location); contact preference (call or text); and device information (browser type, operating system, IP address, and approximate geolocation derived from IP).
Automatically from All Users
We automatically collect log data (IP address, browser type, pages visited, time of access), device identifiers, and information from cookies and similar technologies.
How We Use Information
We use information to provide the Service — processing and delivering submissions to Subscribers, generating dispatch reports and pre-diagnosis suggestions, sending notifications, and operating branded intake pages. We also use information to improve the Service through anonymized, aggregated analysis; to communicate account-related information and respond to support requests; and to detect, prevent, and address fraud, abuse, or security issues.
How We Share Information
With Subscribers. End User submission data is shared with the Subscriber whose intake form the End User completed. This is the core function of the Service.
With Service Providers. We share information with third-party service providers that help us operate the Service, including cloud hosting providers, SMS delivery (Twilio), and payment processing. These providers are contractually obligated to use information only to perform services on our behalf.
For Legal Requirements. We may disclose information if required by law, regulation, or legal process, or to protect our rights, user safety, or the public.
In Business Transfers. If MVC is involved in a merger, acquisition, or sale of assets, user information may be transferred as part of that transaction.
With Consent. We may share information when you have given explicit consent.
What We Do Not Do
We do not sell personal information to third parties. We do not share End User contact information with anyone other than the Subscriber whose intake form the End User used. We do not use End User information for our own marketing purposes. We do not use audio recordings or photos for any purpose other than delivering them to the appropriate Subscriber and improving diagnostic capabilities through anonymized analysis.
Data Retention
Subscriber account information is retained for the duration of the subscription plus 30 days. After the post-cancellation period, account data and all associated End User submissions are permanently deleted unless the Subscriber requests an extension or export. End User submission data is retained for as long as the associated Subscriber account is active, plus the 30-day post-cancellation period. End Users may request deletion at any time. Audio recordings and photographs are stored in encrypted form for the same period as the associated submission and are accessible only to the Subscriber and authorized MVC personnel. Anonymized, aggregated data that cannot identify any individual may be retained indefinitely.
Data Security
We implement commercially reasonable technical, administrative, and physical safeguards including encryption of data in transit and at rest, hashed and salted password storage, role-based access controls, and secure hosting infrastructure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or delete the personal information we hold about you; object to or restrict certain processing; and receive your data in a structured, machine-readable format. Subscribers can access, update, or delete account information and export submission data through the dashboard. End Users may contact us at privacy@opifexbrief.com or the Subscriber directly to exercise their rights.
Cookies
We use cookies for essential functionality (session management, authentication, security) and analytics (understanding Service usage). We do not use cookies for third-party advertising. The intake form used by End Users uses only strictly necessary cookies. You can control cookies through your browser settings.
Children's Privacy
The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. End Users must be at least 18 years old or have parental/guardian consent. If you believe a child under 13 has provided us with personal information, contact us at privacy@opifexbrief.com.
State-Specific Rights
California Residents (CCPA/CPRA). You have the right to know what personal information we collect, use, and disclose; to delete personal information; to opt out of the sale of personal information (we do not sell personal information); to non-discrimination for exercising your rights; to correct inaccurate information; and to limit the use of sensitive personal information.
Other States. Residents of Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws may have similar rights. Contact us at privacy@opifexbrief.com.
Sensitive Information
The vulnerability screening question asks whether anyone in the home is at heightened risk in extreme temperatures. This information is collected solely to help Subscribers prioritize urgent service calls and is shared only with the relevant Subscriber. Property access information is shared only with the relevant Subscriber for service delivery purposes.
International Users
The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify Subscribers of material changes via email. The “Last Updated” date at the top indicates when it was last revised. Continued use after changes constitutes acceptance.
